Who we are

Equifyi is operated by Pammy Stevenson Products Ltd, a company registered in Scotland (company number SC668153, registered office Romanno Mains, West Linton, Scottish Borders, United Kingdom, EH46 7BY) (“we”, “us”). You can contact us about privacy at hello@equi.fyi.

Equifyi is an app that livery yards use to manage yard life: members, the yard handbook, livery agreements, horse records, chat and a yard calendar.

Who is responsible for your data

For the personal data you provide about yourself — your account, profile, your horses' records, messages you send — we are the data controller.

Some information is managed by the yard you belong to: for example your yard owner records contact details, next-of-kin information, livery agreements, and (when you leave) a snapshot of your membership records. For that information the yard owner is the controller and we act as their processor, storing and displaying it on their behalf.

What we collect

  • Account and profile — name, email address, phone number and an optional photo.
  • Private member details — your address and next-of-kin contact, visible only to you and your yard owner (never to staff or other liveries).
  • Horse records — your horses' details, care instructions, notes, health log and photos. Insurance details and health costs are visible only to you.
  • Livery agreements — contract content, your typed name, drawn signature, the signing time and your IP address at signing (kept as signature evidence).
  • Messages — chat messages, images and reactions within your yard's channels, and calendar entries you create.
  • Notifications — if you enable push notifications, a subscription token for your device (you can disable this at any time).
  • Technical data — sign-in cookies and basic logs needed to run and secure the service, and a record of the devices you use — a random device identifier, device type (e.g. iPhone, Android), app version and when it was last used — kept so we can support you, for example spotting when an installed app is serving you an out-of-date version. We do not use advertising or analytics trackers.

Why we use it (lawful bases)

  • To provide the service you and your yard have signed up for — performance of a contract.
  • To keep signature evidence on livery agreements, prevent abuse, and secure accounts — legitimate interests and, for agreements, potential legal claims.
  • Push notifications and optional profile photos — consent, which you can withdraw in the app at any time.

Who can see what

Visibility is deliberately tiered: members of your yard see your name, photo and your horses' names; yard staff additionally see horse care information; only your yard owner sees your address, next-of-kin and livery agreements; and some information (insurance, health costs) is visible to you alone. Nothing you store in Equifyi is public.

Who we share it with

We do not sell personal data. We use a small number of processors to run the service: Supabase (database, authentication and file storage — hosted in the AWS London region), Vercel (application hosting), Resend (transactional email such as sign-in links and invitations) and Sentry (error monitoring — hosted in the EU; receives technical error details such as device type and the actions leading to a fault, with message text and images masked). Each processes data on our instructions.

How long we keep it

  • Your account and its content: for as long as you have an account.
  • If you leave a yard: the yard keeps signed agreements and a read-only snapshot of your membership records (the yard owner is the controller of these — they reflect the yard's own record-keeping obligations).
  • Signed livery agreements: retained as evidence for the parties for the periods usual for contractual documents.

Your rights

Under UK data protection law you can ask for access to your data, correction, erasure, restriction, portability, and you can object to processing based on legitimate interests. Much of your data you can view and edit directly in the app. To exercise any right, contact us at hello@equi.fyi — or your yard owner for information they control. You can also complain to the Information Commissioner's Office (ico.org.uk).

Cookies

We use only essential cookies: keeping you signed in and remembering your selected yard. There are no advertising or third-party tracking cookies, so there is no cookie banner to click.

Children

Equifyi accounts are for people aged 16 or over. Younger riders at a yard are represented by a parent or guardian's account.

Changes and governing law

We will post any changes to this policy here and update the date above. This policy and any dispute arising from it are governed by the law of Scotland.
